How to use UTM links to track where your customers come from
We earn a commission if you buy through some links on this page, at no extra cost to you. It never affects the order. How we make money.
UTM links are ordinary web links with small tags added to the end that tell your analytics tool where a visitor came from: which campaign, which channel and which message. Without them, visits from newsletters, social posts, WhatsApp messages and partner sites often blur together as direct or referral traffic, and you cannot tell what works. This guide explains each UTM parameter, sets out naming rules, gives ready-made examples for common channels, and shows how to read the results.
What a UTM link looks like
A UTM link adds parameters after a question mark in the URL. For example:
https://example.com/offer?utm_source=newsletter&utm_medium=email&utm_campaign=spring_sale
When someone clicks it, your analytics tool, such as Google Analytics, reads the tags and records the visit as coming from the newsletter, by email, for the spring sale campaign. The page itself is unchanged; visitors see the same content.

The five UTM parameters
- utm_source: where the traffic comes from, such as newsletter, facebook, google, partner name or whatsapp.
- utm_medium: the type of channel, such as email, social, cpc (paid search), referral or qr.
- utm_campaign: the specific campaign, promotion or launch, such as spring_sale or webinar_june.
- utm_content: optional, to tell apart different links or versions in the same campaign, such as header_button or video_ad_a.
- utm_term: optional, mainly for paid search keywords.
Source, medium and campaign are the essential three. Use content when you test versions or have several links in one message.
Why UTM tracking matters
Marketing budgets are limited, and small businesses need to know which activities bring customers. UTM links let you answer questions such as: Did the newsletter or the Instagram post bring more sign-ups? Which partner sends the most valuable traffic? Did the WhatsApp broadcast drive sales? Combined with conversion tracking, they show not just visits but leads and revenue by channel, which helps calculate acquisition cost; see LTV and CAC explained.
Naming conventions: the most important rule
UTM values are case-sensitive and must be consistent, or your reports will split the same channel into several rows. Agree simple rules and write them down:
- Use lowercase only.
- Use underscores or hyphens instead of spaces, consistently.
- Use a fixed list of mediums, such as email, social, cpc, paid_social, referral, qr, sms, whatsapp.
- Use consistent source names, such as facebook not fb in one place and Facebook in another.
- Name campaigns with a pattern, such as year_month_name: 2026_10_launch.
Keep a shared spreadsheet listing every UTM link created, so the whole team uses the same values.
Example: email newsletter
For a monthly newsletter linking to a new guide, use source=newsletter, medium=email, campaign=2026_10_newsletter, and content to distinguish links, such as content=main_story or content=footer. Many email tools can add UTM parameters automatically; check your tool's settings so you do not double-tag. See email marketing for beginners.
Example: social media posts
For an Instagram bio link, use source=instagram, medium=social, campaign=bio. For a LinkedIn post promoting a webinar, use source=linkedin, medium=social, campaign=webinar_oct. For paid social ads, use medium=paid_social so organic and paid social are separate in reports. Many ad platforms add their own tracking, but UTMs keep your analytics consistent across platforms.
Example: WhatsApp and SMS
Links shared in WhatsApp chats and broadcasts usually appear as direct traffic without tags, because messaging apps do not pass referrer information. Add UTMs: source=whatsapp, medium=broadcast or medium=chat, campaign=flash_sale. For SMS, use source=sms. Create click-to-chat links for your website with the WhatsApp link generator, and see WhatsApp marketing for small businesses.
Example: QR codes and print
QR codes on flyers, packaging, shop windows and business cards can carry UTM links, so you can measure offline marketing. Use source=flyer or source=packaging, medium=qr, campaign=store_opening. Generate the code from the tagged link with our QR code generator. Test the code before printing.
Example: partners, directories and influencers
Give each partner or influencer their own tagged link: source=partnername, medium=referral or medium=influencer, campaign=launch. This shows which partnerships bring traffic and conversions, which helps you decide where to invest and how to reward partners fairly. For affiliates with their own tracking systems, UTMs add a second, independent view in your analytics.
Do not use UTMs on internal links
Never add UTM parameters to links between pages on your own website. When a visitor clicks an internal UTM link, analytics may start a new session and attribute it to the internal campaign, overwriting the real source, such as the search engine or ad that brought them. Use UTMs only on links from outside your site pointing in.
Reading the results
In Google Analytics, traffic acquisition reports show sessions by source, medium and campaign. Add conversions, such as form submissions, sign-ups or purchases, to see which campaigns produce results, not just visits. Compare campaigns by conversion rate and cost per conversion, not by clicks alone. If you use a CRM, store the source and campaign of each lead captured from forms; see lead management.
Set up conversion tracking
UTM tags tell you where visitors come from, but you also need to track what they do. Define conversions in your analytics tool: thank-you page views after forms, completed purchases, booked calls, sign-ups, clicks on phone numbers or WhatsApp buttons. Many website builders, store platforms and form tools integrate directly with analytics. Without conversion tracking, you only measure traffic, which can mislead.
Short links and UTMs
UTM links can be long and look messy in social posts or print. Use a link shortener, ideally on your own domain, to turn the full tagged link into a short one. The shortener redirects to the full URL with tags intact. Check that redirects preserve the parameters, and test before publishing.
Privacy considerations
UTM parameters should describe campaigns, never individuals. Do not put names, email addresses or other personal data in UTM values, since URLs can appear in analytics, server logs and browser histories. Follow your privacy policy and cookie consent rules for analytics tracking, which are required in many countries.
A simple UTM workflow
- Write a naming guide with allowed sources and mediums.
- Create links with the UTM builder for each campaign.
- Record them in a shared spreadsheet.
- Test each link before publishing.
- Review results weekly during campaigns and monthly overall.
- Use the findings to shift budget and effort to what works.
Common mistakes
- Inconsistent capitalisation and naming.
- Using UTMs on internal links.
- Forgetting UTMs on WhatsApp, SMS and QR links, which then appear as direct traffic.
- Putting personal data in UTM values.
- Tracking clicks but not conversions.
- Creating links ad hoc without a shared record.
Example: a product launch across channels
A software company launches a new feature with a blog post, a newsletter, LinkedIn posts, a partner mention and a small paid social campaign. It creates one campaign name, 2026_11_feature_launch, and tagged links for each channel: source=newsletter and medium=email; source=linkedin and medium=social; source=partnername and medium=referral; source=facebook and medium=paid_social with content values for two ad versions.
After two weeks, analytics shows that the newsletter brought the most visits, but the partner mention brought the most trial sign-ups per visit, and one ad version converted twice as well as the other. The company shifts budget to the better ad, thanks the partner and plans a joint webinar, and notes that its newsletter audience is engaged but already mostly signed up. Without UTMs, most of this traffic would have looked like direct or generic referral traffic.
Example: a local shop's offline marketing
A shop prints flyers, puts a QR code on receipts and has a poster in a partner café. Each QR code points to a tagged link: source=flyer, source=receipt and source=cafe_poster, all with medium=qr and campaign=autumn_offer. The landing page offers a discount code. By comparing visits and redemptions by source, the shop learns that receipt QR codes bring repeat customers back online, while the café poster brings new ones. It reprints the poster for other partner locations.
UTMs and paid ad platforms
Ad platforms such as Google Ads can tag links automatically with their own identifiers, which link ad data to analytics when the accounts are connected. If you use auto-tagging, you may not need manual UTMs for those campaigns, but check that your analytics settings respect it. For platforms without native integration, or when you want consistent naming across all channels, add UTMs in the ad's URL or tracking template. Avoid conflicting manual and automatic tags.
Reporting for small teams
Create a simple monthly report: visits, conversions and conversion rate by medium; top campaigns by conversions; and notes on what changed. Share it with whoever plans marketing. Over a few months, patterns appear: perhaps email converts best, social brings awareness but few sign-ups, and partners bring high-quality leads. Those patterns should drive where you spend time and money, and they make conversations about marketing budgets far more concrete.
Tracking links in your CRM
Forms can capture UTM values in hidden fields and pass them to your CRM with each lead. This lets you see not only which campaigns bring leads, but which bring customers and revenue, closing the loop between marketing and sales. Many CRMs and form tools support this out of the box; see the CRM ranking and what a CRM is.
Keeping a campaign log
A campaign log is a shared spreadsheet listing every tagged link: the date created, channel, full URL, short link, the person responsible and notes. It prevents duplicate or inconsistent names, lets anyone find the right link quickly, and provides context when reviewing results months later. Add a tab with your naming rules at the top, so new team members follow them from day one.
Testing your links before publishing
Before sending a campaign, click each tagged link yourself. Check that the page loads correctly, that the parameters appear in the address bar after any redirects, and that the visit shows up in your analytics real-time report with the right source, medium and campaign. Broken or untagged links in a large email send cannot be fixed afterwards, so a two-minute test saves a lot of lost data.
Common UTM naming scheme
- Email: source=newsletter or source=onboarding; medium=email.
- Organic social: source=linkedin, instagram, facebook, x or tiktok; medium=social.
- Paid social: same sources; medium=paid_social.
- Paid search: source=google or bing; medium=cpc.
- Messaging: source=whatsapp or sms; medium=broadcast or chat.
- Offline: source=flyer, receipt or event name; medium=qr.
- Partners: source=partner name; medium=referral.
Adapt this list once, then stick to it.
Questions
What are UTM links?
Web links with tags added that tell analytics tools the source, medium and campaign of each visit.
Can UTM links break my website?
Rarely. Most websites ignore unknown parameters. Test links if your site uses parameters for other features.
What is the difference between source and medium?
Source is the specific origin, such as newsletter or facebook. Medium is the type of channel, such as email or social.
Do UTM links work with all analytics tools?
Most web analytics tools recognise UTM parameters, including Google Analytics and many privacy-focused alternatives.
Which UTM parameters are required?
Source, medium and campaign are the essential three. Content and term are optional.
Are UTM parameters case-sensitive?
Yes. Use lowercase consistently to avoid splitting the same channel into several report rows.
Should I use UTMs on internal links?
No. Internal UTM links can overwrite the real source of a visit in analytics.
Do UTM links affect SEO?
Not when used on external campaign links. Search engines usually ignore them, and they should not be used in internal linking.
How do I track WhatsApp traffic?
Add UTM parameters to links you share on WhatsApp, such as source=whatsapp and medium=broadcast.
Can I shorten UTM links?
Yes. Link shorteners keep the parameters when redirecting. Test links before publishing.
